What you'll accomplish
By the end of this guide, you'll have a Claude Project that acts as your relationship memory for each dentist account. It will remember each dentist's preferences, communication history, material choices, and the right tone to use — so every email draft is already personalized without you having to re-explain context.

Click on "Project instructions" and type:
You are a communication assistant for [Lab Name], a dental laboratory.
Our lab specializes in: crowns, bridges, full and partial dentures, orthodontic appliances.
Standard materials: zirconia full-contour, e.max press, PFM, acrylic.
Normal turnaround: 5-7 business days for crowns/bridges; 10-14 days for dentures.
Communication tone: professional, warm, and solution-focused.
NEVER: blame dentists directly for remakes, even if the root cause is impression quality.
ALWAYS: offer a clear next step in every communication.
DENTIST ACCOUNT NOTES:
Dr. [Name 1]:
- Has been a client since [year]
- Prefers digital impressions (3Shape); rarely sends physical models
- Shade-sensitive: always document shade selection in detail for his cases
- Communication preference: brief emails; calls to discuss complex cases
Dr. [Name 2]:
- New account (started [month])
- Frequently calls for status updates — proactively include ETA in all communications
- Had one shade dispute in [month] — resolved by remake
- Formal tone preferred
Dr. [Name 3]:
- High volume: 8-12 cases/week
- Mostly routine crowns (#2, #3, #14, #15 — posterior right)
- Very price-sensitive; don't mention upgrade materials unless they ask
- Casual, friendly tone OK
Click Save.
What you should see: Claude drafts an email that's already formatted for Dr. [Name 1]'s communication preference (brief, with shade documentation note if relevant).
When something changes — a new preference, a resolved dispute, a new contact person at the office — just start a conversation: "Update my notes on Dr. Kim: she's switched to physical impressions as of this month, and her new office manager is Sandra."
Claude will acknowledge it — but note that Projects' memory is in the Instructions, not auto-learned. Go back to Project Instructions and add the update manually for it to persist.
Troubleshooting: If Claude seems to forget account notes, check that your instructions are saved and you're working inside the project (not a regular chat).
"Write a case intake confirmation for Dr. [name]'s office. We received [case type] for [tooth] today. Expected completion: [date]."
"Draft a follow-up for Dr. [name] — we haven't received the try-in approval for case #[number] that we sent 4 days ago."
"Dr. [name] just switched from digital impressions to physical models. Write a brief email welcoming the change and reminding them of our physical impression submission instructions."
"Write an end-of-year thank you email to Dr. [name] that's brief and genuine. Not overly formal."
"Dr. [name] is moving offices next month. Write a brief congratulatory email and ask them to confirm the new delivery address."
